Terms of Service

1. What you're buying

You're reserving an ad slot on a shared 9×12" postcard mailed by USPS Every Door Direct Mail (EDDM) to every home on selected postal routes. The Neighborhood Pros ("TNP," "we") is a service of Rapid Print Solutions, a Cincinnati-area print shop.

Your slot reservation includes ad design, a dynamic QR code, print, and mailing for the month(s) you book. Performance Tracking (custom-styled QR + scan analytics dashboard) is bundled free on 6-month and 12-month commitments, or available for $50/month on shorter runs.

2. Pricing transparency, no auto-renew

Every price is on the pricing page. We do not require a contract beyond the months you choose at checkout. We do not auto-renew you into another commitment. When your booked term ends, the relationship ends — unless you choose to book again.

3. Postage passthrough on multi-month commits

USPS sets EDDM postage rates and adjusts them roughly twice per year. The price you see at checkout assumes the USPS rate effective on the day you book.

Postage passthrough clause: If you book a 6-month or 12-month commitment and USPS raises EDDM postage by more than 3% during your term, the increase above 3% is passed through to your remaining unmailed months at the next billing cycle. We will notify you by email before any passthrough takes effect.

Why:a 5% USPS rate hike on a 12-month locked $400 slot eats $50 of your effective spend. We'd rather be honest about that risk than absorb it silently and shrink ad quality elsewhere. Annual prepay customers are subject to the same passthrough only on mail drops still ahead at the time of the rate change — already-mailed months are never re-billed.

4. Industry exclusivity per zone

On any given card, we run only one business per industry per ZIP. Your competitors cannot buy the same slot, the same card, the same drop. The exclusivity applies to the card and drop you booked, not to all future cards in that ZIP — but on 6-month and 12-month commits you also get a right of first refusal on the next card cycle, so a competitor can't leapfrog you.

5. Proof approval and revisions

We design your ad. You approve the proof in your customer portal before anything prints. Up to two rounds of revisions are included; substantial scope changes after that may be billed at $75/hr in 15-minute increments and we'll quote you before doing the work.

If you do not approve a proof within 14 days of the proof being sent, we'll attempt to reach you twice; if we still don't hear back, we may print with the most recently approved version on file or suspend the slot until we do hear from you. We don't want to be the company that mails old artwork because nobody answered the phone.

6. Refunds, cancellations, and chargebacks

Before press:If your slot has not yet gone to press, you may cancel and receive a full refund less any third-party fees already paid (Stripe processing fees, stock photography licensing) and any design hours we've already spent (billed at $75/hr).

After press: Once the run has been imposed and printed, your slot cannot be refunded — paper, postage, and press time are spent and not recoverable. If we made a printing error, we reprint and re-mail at our cost.

Multi-month commits: You may pause or cancel future months at any time. Already-mailed months are non-refundable. Months booked but not yet imposed are refunded less the design hours we already spent.

Chargebacks: Stripe charges us a flat fee on disputed transactions ($15) and does not return the original processing fee. If a chargeback is filed and then withdrawn, we will absorb both fees in good faith the first time. Repeated disputes may end the relationship.

7. What you supply, what we supply

You supply: Your business name, logo (vector preferred), the offer you want to feature, and your QR destination URL. Optionally: a photo of your work or crew. You confirm you own or have license to use everything you give us.

We supply: Layout, typography, color, ad copy assistance, the QR code itself (which routes through theneighborhoodpros.com so we can track scans for you), final press file, print, USPS prep, drop at the Cincinnati BMEU.

8. Truthful advertising

You confirm that your offer is real, that you're licensed to perform the services advertised, and that your business is independently owned and locally operated. We reserve the right to refuse or pull an ad if we believe it's misleading, illegal, or violates USPS mailing rules. If we pull an ad after press, you're refunded for unmailed months.

9. QR scan analytics

Performance Tracking customers see scan counts, geographic clusters (city-level only), and time-of-day patterns. We store an SHA-256 hash of the scanner's IP address and a coarse city derived from it — never the raw IP, never device fingerprints, never personal identifiers. We do not sell or share scan data.

10. Limitation of liability

Direct mail is a marketing channel, not a sales guarantee. Response rates depend on your offer, your industry, your service quality, the time of year, the weather, and a dozen other things outside our control. We'll print and mail what you approve; we don't guarantee leads or sales.

Our maximum liability for any claim related to a campaign is the amount you paid us for that campaign.

11. Changes to these terms

If we change these terms, we'll email customers with active reservations 14 days before the change takes effect. Your existing bookings stay under the terms in effect on the day you booked them.
